On behalf of our client, an international pharmaceutical company based in Basel, Swisslinx is looking for a Senior Administrative Assistant. This is a contract until the end of the year with a high chance of becoming a permanent role.
- Start date: May 2024
- Duration: Until end of the year
- Extension: highly possible as well as internalization
- Workload: 100%
- Mostly remote work (based in Switzerland)
The Senior Administrative Assistant will be responsible for providing support to senior leaders and their teams within the company in EMEA. This position reports to the Workplace Services Manager and will be responsible for on-site support which includes but is not limited to scheduling and coordinating meetings, scheduling candidate interviews, travel coordination, expense reporting, processing incoming and outgoing mail, and other responsibilities as assigned.
Your mission:
- Organize and schedule meetings as needed
- Proactively anticipate and manage calendar for designated senior leaders
- Arrange frequent and/or complex travel for designated senior leaders
- Coordinate international meeting schedules and plan off-site meetings
- Responsible for entering and submitting expense reports for designated senior leaders
- Coordinate catering for meetings as requested
- Schedule and coordinate candidate phone, video, and in-office interviews
- Arrange travel and accommodations for out-of-state candidates
- Coordinate with IT department for meeting support
- Responsible for coordinating initial schedules for new hires within department
- May be asked to participate in the planning and execution of company events
- Raising PO’s and creating contract approvals via ICertis
- Any other duties as assigned
Your profile:
- Relevant degree or professional training in business administration
- Advanced computer skills required, knowledge of Ariba, SAP, DocuSign is a plus
- Minimum of 5-7 years’ experience assisting high level leaders; multiple disciplines a plus
- Extensive experience in efficiently multi-tasking between business partners and priorities
- Used to work in a dynamic and fast-changing environment
- Experience in handling highly critical and confidential matters with the highest level of discretion and tenacity
- Ability to take on increased responsibility as the company grows
- Ability to independently work in an ambiguous yet fast-paced environment
- Ability to work independently in a fast-paced environment with constantly changing priorities
- Strong organizational and communication skills, team-oriented philosophy, and problem-solving skills
