Job description
As our People and Operations Coordinator, you will play a key role in ensuring a smooth and professional working environment while supporting the full employee lifecycle for both internal staff and external consultants. This position bridges office management and HR administration, making you the go-to person for operational efficiency, employee support, and workplace coordination. You will work closely with various departments to maintain a well-organized office and ensure HR processes run seamlessly in line with Swiss standards.
Requirements
HR & Admin Coordination (Internal & External Employees) - 90%
- Support HR tasks throughout the employee lifecycle: recruitment, onboarding, employee changes, and offboarding.
- Administer contracts, employment documentation, and maintain up-to-date personnel files in line with Swiss legal requirements.
- Coordinate time tracking, absence management, and assist in payroll preparation with accurate data entry.
- Contribute to the digitalization of HR processes and drive efficiency improvements.
- Act as the go-to person for HR-related queries and administrative support.
Office Management - 10%
- Oversee day-to-day office operations, including handling mail (Post), confidential documents, and ordering supplies.
- Report and follow up on maintenance issues, ensuring timely resolution.
- Coordinate with building management and cleaning services to maintain a clean and well-functioning office space.
- Manage small renovation projects in the office with minimal disruption to daily work.
Competences
- Completed education in HR (e.g. HR-Assistentin or equivalent) is preferred.
- Solid understanding of Swiss employment law and HR practices is a plus.
- Minimum B2-level German and good English communication skills, both written and verbal.
- Strong organizational and multitasking abilities with attention to detail.
- Comfortable using digital tools like Personio, Easytemp, Byner/Salesforce, and keen to improve processes.
